Position: Operations Officer
Number of needed staff: One position
Employment period: Open-ended period (Full-time)
Working place: Kigali – Kimironko, KG 19 AVE 9 – Nziza Training Academy Office
JOB PURPOSE STATEMENT
Reporting to the CEO, the Operations officer is responsible to ensure that there is a smooth running of Weekly routine operations, carried out without any major risk, and that all members’ queries are processed in a timely manner. All these must be carried out within the defined policies and procedures of the Nziza Training Academy.
Key responsibilities
- Daily office attendance
- Scheduling trainees’ registration time
- trainees’ recruitment and follow-up their enrollment
- Daily social media management
- Entire institution’s information cycle management
- Making business calls, emails, messages and official letters
- Preparing weekly report
- Email management, meeting agendas and materials, attend and take minutes of meeting, transcribe minutes and distribute in a timely manner;
- Thoroughly proofread all meeting minutes, memos and correspondence sent out to the public from the Chief Executive Officer;
- Maintain the CEO’s contacts, mailing list, files and archive annually;
- Any other duties as allocated from time to time.
Requirements:
- Bachelor’s degree in any business studies, international trade, commerce or related education
- At least three (3) years of working experience in a similar capacity.
- Excellent organizational skills; proven ability to manage multiple ongoing tasks
- Excellent computer skills: proficient user of Zoom, Microsoft Office suite (MS Word, Excel, Teams, PowerPoint); knowledge of WordPress will be an advantage but we will provide training on it.
- Excellent interpersonal communication skills; ability to work with our international partners.
- Flexible and adaptable to fast-paced and rapidly changing environments
- Self-starter, ability to prioritize tasks efficiently and work with minimal supervision.
- English language fluency (written and spoken) with intermediate French.
