The Program Administrative Assistant position is a full-time employment opportunity, based in Kigali, Rwanda.
Under the supervision of the Rwanda Program Officer with cross-reporting to the Finance Administrative Officer, the person will have the following duties:
Program Assistant Duties:
- Accompany MCC’s Rwanda partner organizations who are implementing efforts in agriculture, economic support, education, and peacebuilding, with the goal of helping the partners continually increase their program effectiveness and positive impact for participants. This will include performing the following activities in collaboration with the Program Officer:

- participate in regular partner planning meetings.
- monitor the implementation of projects and follow up on partner reporting, including providing feedback.
- ensure that MCC reporting requirements are met in a timely manner
- regularly and frequently visit partner organizations and their projects to build relationships, learn about the local context, and monitor and understand their work. Currently, this involves work in six districts, so travel and occasional overnight trips will be involved
- Maintain legal INGO registration in collaboration with the Rwanda Program Officer:
- Relate to national and district officials during project activities.
- Report to national and district officials about completed activities.
- Submit annual plans to national and district officials on anticipated budgets and activities.
- Manage MCC vehicles including annual IT registration renewals and Controle Technique inspections, as well as maintenance/repair arrangements.
- Manage residency logistics of MCC Representatives and Service Workers as needed, including guidance for acquiring visa work permits and for housing arrangements
- Support service-learning program participants (usually 1-3 young adults/year from North America) who have 11-month service-learning assignments with MCC partners. This includes communicating with their host families and supervisors and providing social support when needed.
- Support the recruitment and orientation of IVEP and YAMEN program participants (1-3 Rwandan young adults/year serving 11-month service-learning assignments outside of Rwanda.)
- Provide language interpretation between English and Kinyarwanda as needed, particularly at meetings between MCC partners and English-speaking MCC staff.
Administrative Assistant Duties:
Support the Finance Administrative Officer by:
- Inputting monthly financial transaction data into MCC’s accounting database.
- Paying routine bills, collecting invoices/receipts, and tracking payment confirmations.
- Doing errands such as delivering checks to the bank, shopping for small office supplies, tidying the office, picking up mail, etc.
- Performing other tasks as needed to enable the Finance Administrative Officer to meet reporting deadlines or/and to take leave.
Qualifications:
- University degree with preference for a major in Development, Project Management, Agriculture, Education, or Business Administration, with at least 2 years of experience in the INGO sector.
- Good written and spoken English and Kinyarwanda (written and spoken French a plus.)
- Administrative skills (computer skills including Microsoft Office with Excel.)
- Highly-organized and proficient in computer-based narrative documentation, data entry, filing, and spreadsheets.
- Rwanda driver’s license and driving experience a plus.
- Demonstrated initiative with ability to work independently and deal with situations and issues persistently and pro-actively.
- Excellent interpersonal skills.
- Ability to deal with confidential information in an appropriate and professional manner.
- Flexible, willing to learn, and able to accept feedback.
- Commitment to Christian faith and service demonstrated through active participation in a church community.
- Commitment to MCC values of peace and justice.
