Job Brief
We are looking for an astute procurement officer to oversee purchasing activities and ensure that purchased items are both cost-efficient and of high quality. The procurement officer’s responsibilities include maintaining positive supplier relations, evaluating supply options, approving purchases, and maintaining accurate records.
Responsibilities
- Responsible for stock management including periodic stock reconciliation.
- Book transportation/create shipment according negotiated rate and preferred vendor strategy.
- Proactively manage project materials cost against estimated project costs to ensure margin/profit objectives are met or exceeded
- Assist estimators in applying accurate and current materials costs to estimates and change orders
- Process purchase orders for materials and subcontract labor, monitor procurement, shipping and delivery of materials for all solutions
- Work with suppliers to know product availability and assure competitive pricing
- Reviewing purchase orders and shipping documents to ensure accuracy
- Ensure procurement transactions have adequate and accurate supporting documentation
- Prepare tender documents, obtain quotations, delivery costs and items;
- Assists in developing and review procurement and logistic procedure and processes to facilitate effective delivery of Plan’s objectives.
- Maintains records of all purchases, agreements, contracts and ensure regular updates where necessary
- Maintain accurate Bills of Quantity for appropriate projects, which are approved by a registered engineer for projects.
- Work closely with operational team to ensure the items and equipment required and budgeted for by their projects are purchased and transported in a timely and efficient manner.
- Establishment of accountable and functional in-bound and out-bound logistics and warehousing systems and procedures
- Responsible for fleet and warehouse management and ensuring all records of stock reports and fleet management are updated for all offices and warehouses.
- Responsible for reviewing and updating all contracts and also management and payment verification of these contracts
- Preparing plans for the purchase of equipment, services, and supplies.
- Following and enforcing the company’s procurement policies and procedures.
- Reviewing, comparing, analyzing, and approving products and services to be purchased.
- Managing inventories and maintaining accurate purchase and pricing records.
- Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
- Maintaining good supplier relations and negotiating contracts.
- Researching and evaluating prospective suppliers.
- Provide ad hoc administrative support as needed to staff.
Required skills and qualifications
- Degree in accounting, business management or a similar field preferred.
- 3+ years of experience as a procurement officer or in a similar position.
- Proficiency in Microsoft Office and purchasing software.
- Strong communication and negotiation skills.
- Good analytical and strategic thinking skills.
- Attention to detail.
