The Embassy of the Grand Duchy of Luxembourg in Kigali is seeking to recruit a full-time administrative and financial assistant under a permanent employment contract starting from 15 August or a mutually agreed date.
Position Overview:
The administrative and financial assistant will support the Embassy’s daily operations under the supervision of the Chargé d’affaires a.i. This role involves managing administrative and financial tasks, ensuring efficient operation and adherence to diplomatic protocols.
Key Responsabilities :
- You oversee the secretariat and manage the Embassy’s schedule
- You act as a liaison with ministries, national and international institutions, development partners, NGOs, consultants, suppliers, etc.
- You plan and execute official visits and events, including logistical arrangements
- You ensure compliance with diplomatic protocols and procedures
- You perform administrative duties, including maintaining the Embassy’s property and equipment
- You manage procurement procedures for tax and duty-exempt goods and services
- You handle the Embassy’s accounting, including the preparation of monthly and annual financial statements
- You support budget management, including revisions, fund requests, and budget proposals
- You process and track invoice payments
Your profile :
- You hold a High school diploma or equivalent in a relevant field
- You have a minimum of 5 years of professional experience in administration or secretarial work; experience in development cooperation, diplomacy/politics, communication, or civil society projects is a plus
- You have an excellent command of English and Kinyarwanda (C1 Level); proficiency in French is an asset
- You have strong oral and written communication skills
- You are proficient in computer applications (MS Office, Word, Excel, PowerPoint, Outlook, Adobe Acrobat)
- You are proactive, precise, and able to work autonomously in a dynamic environment
- You have a strong sense of responsibility, initiative, and integrity, with the ability to handle confidential information
Additional Information:
Please note that the employment contract, including remuneration, is governed by the regulations in place in Rwanda.
