Job Description
• Keep the register of the courier of the Department: both incoming and out going.
• Receive and orient administrative documents where they are supposed to be oriented;
• Prepare minutes of different meetings held by the Head of Department;
• Correct and produce documents given by the Head of Department;
• Set up a system of classification of files and documents from different units and update it;
• Receive and record documents from unit Directors and other professionals;
• Manage the Agenda for the Head of the Department where applicable;
• Assist the Head of Department in drafting all correspondences and make appropriate follow u
• Providing administrative services to ensure effective and efficient operations (management of meeting room, keeping refreshment for the Division events etc)
• Manage the agenda of the Head of Department and drive calendaring of meetings
• Management of the flow of courier for the Division / Department, in collaboration with other Administrative Assistants and the central secretariat.
• Providing administrative services to ensure effective and efficient operations, working with the administration Unit and the rest of Units in the respective Division.
