1. Branch Warehouse Manager

Job Description:  Rwanda Warehouse Manager 

Sokowatch is searching for a stellar warehouse manager to be based in Kigali. They will undertake all aspects of warehouse manager for Sokowatch in Rwanda. The primary goal of this position is to monitor, report, and optimize inventory controls in Rwanda.




Requirements

  • A Bachelor’s degree in supply chain management, commerce, business administration, or a closely related field.
  • Proven work experience as a warehouse manager for at least 5 years.
  • Expertise in development and implementation of warehouse management procedures and best practices.
  • Proven ability to implement processes improvement initiatives.
  • Strong knowledge of the warehousing key performance indicators (SOPs)
  • Leadership skills and ability to manage staff effectively for optimal performance.
  • Strong decision making and problem-solving skills.
  • Excellent communication skills and must be fluent in English
  • Must exhibit a high level of integrity, keen on details, and comfortable working with numbers.
  • Ability to multitask, provide leadership, and perform under pressure.
  • A go getter and a problem solver.

Key Responsibilities

  • Responsible for the supervision and management of all warehouse operations in Rwanda including staff.
  • Responsible for the development and compliance of agreed-upon warehouse standard operating procedures across all warehouse functions (eg. loading, stock reconciliation, cash reconciliation, storage, stock counts).
  • Spearhead all inventory cycle counts, analyze variances, and fully investigate and report on stock variances i.e expected versus actual / physical.
  • Generate reliable reports on inventory levels, movement as well as stock valuation on a weekly and monthly basis.
  • Responsible for the management of inventory across all branches. Ensuring each branch is not over/under- stocking on any SKU.
  • Responsible for managing the communication flow between branch level warehouse team and finance team with regards to timely payment for LPOs.
  • Responsible for managing the communication flow between country level warehouse managers, supplier relations, and procurement teams to ensure timely delivery of requested LPOs.
  • In charge of tracking and reporting of country level agent shorts, inventory shrinkage as well as send out
  • Responsible for the development of branch-level warehouse team budgets (eg. budget for additional personnel, storage capacity, parking capacity, offloading capacity, stock forecasting)
  • Any other duties as may be assigned from time to time.

Role: Rwanda Procurement Manager, Reporting to East Africa Procurement Manager

Your role is to assist in building and maintaining strong supplier partnerships. You are responsible for driving company supplier term negotiations, by ensuring we receive the best margins, payment terms, and build strong partnerships across the country operations.

Duties & Responsibilities:

  • Negotiate terms and conditions of supplier partnerships
  • Schedule regular reports and meetings
  • Actively manage and monitor the procurement and delivery of goods to the warehouses, to ensure KPIs are being met and revised regularly
  • Improve supplier lead-time compliance through optimization of delivery tracking
  • Managing supply chain relations activities at a country level
  • Monitor all distribution agreement contracts and ensure invoices from suppliers and POs to suppliers are as per the agreed terms.
  • Proactively identify opportunities that will align supplier needs with the organizational goals
  • Manage and implement strategies for procuring, and distributing goods to maintain stock levels




Requirements:

The successful candidate will possess:

  • Preferred 3 years of experience in a similar role
  • Bachelor degree, preferably in Business Management, Logistics, Supply Chain Management, Economics, or a Related Field

Purpose of Job

Key Job Accountabilities

Launch store 1 and grow the bottom line by attracting and retaining customers.

1.Set up and launch of Kigali Store 1

2.Meeting and exceeding customers’ needs and expectations;

3.The development and management of a motivated, empowered, and customer-centric staff; and

4.The development and continuous review of the branch business plan.

Pre -Launch operations

  • Coordinating set up of Kigali store 1 with the different stakeholders.
  • Coordinating store launch plans with project consultant
  • Developing the final store basket for the launch of store 1
  • Market Intelligence to  support store strategy
  • recruitment and training of store personnel

 Post-launch operations

Customer Service

  • Attract and retain customers through the provision of effective and efficient internal and external customer service delivery processes and execution by the shop team

Retail Operations Management

  • Coordinate merchandise and display setup
  • Customer assistance and general service delivery
  • Accurate signage (aisle indicators, general store directions, entry, and exits)
  • Checkout of customers in a timely and friendly manner
  • Review of sales and expense results routinely

Market Intelligence: Ensure the weekly market intelligence with our competitors is done to ensure the branch remains competitive

Document Processing:

  • Ensure that all documents related to branch operations have been processed by the end of the day.  This is in regards to cashier reconciliations, banking slips, receiving documents

Key Performance Indicators

  • Branch strategy work plan: Monthly tracking of the branch targets and reporting of the same to Consumer head/Country manager
  • Business forecast: Weekly monitoring of the projected vs. the actual sales to ensure quick remedial actions are taken in cases of slackened business performance
  • Expense control budget: Monthly tracking of all branch budgets to ensure that the branch is within its set limits
  • Daily data processing of received goods into the system to ensure stock levels data integrity for proper daily  replenishment
  • Monthly budget reports
  • Weekly price comparisons with major competitors of our top 100 items
  • Daily online receiving of goods documents within the system
  • Daily tracking of outstanding goods orders with suppliers to ensure 100% delivery of goods
  • Daily  checks of the back store to ensure that the store management procedures are strictly adhered to
  • Daily staffing headcount checks via the clocking cards and physical checks
  • Weekly review of the staff reporting schedule to ensure proper resource allocation.
  • Monthly branch monitoring of shrinkage amounts (to be kept to below 0.09%)
  •  Monthly staff monitoring productivity i.e. Sales per employee
  •  Achieve the agreed key operations monthly targets i.e. Sales turnover of 100%, stock days of less than 21 days, Net margins (as per budget), and stock-outs of less than 1%
  • 24 hours clearance of all accounts related to receiving documentation
